Fixfi respects your privacy and is committed to protecting personal information processed through our website, fleet-management platform, mobile applications, WhatsApp Business integrations, and related services.

This Privacy Policy explains the main categories of information we process, why we use them, and how users can request access, correction, or deletion.

Fixfi is operated by FortMax.

Information We May Process

Depending on the services enabled by a customer organization, Fixfi may process:

  • Name, phone number, employee or driver information, job title, organization, account role, and permissions.
  • Vehicle and fleet information such as assigned vehicle, vehicle identifiers, odometer readings, incidents, maintenance records, fuel or expense records, and related operational information.
  • WhatsApp communications such as messages, timestamps, photos, voice notes, documents, and other attachments voluntarily sent by the user.
  • Incident and maintenance information including reported symptoms, service requests, appointments, service-center information, status updates, and audit history.
  • Technical, authentication, security, and service logs reasonably required to operate and protect the platform.

Corporate WhatsApp AI

For organizations that enable Fixfi's Corporate WhatsApp AI service, an employee may report a vehicle problem through the WhatsApp Business number configured for that organization.

Fixfi may use the sender's phone number to identify the employee within the relevant organization and resolve the employee's assigned Corporate Vehicle. The service may collect additional fault information or media, create an Incident, generate an AI-assisted initial or preliminary analysis, and provide follow-up information related to the Incident or Maintenance Ticket.

If a service appointment is scheduled, Fixfi may send the relevant employee service-center, date, time, vehicle, and instruction details through WhatsApp.

Unknown or unauthorized phone numbers must not be given access to another organization's data.

Artificial Intelligence

Fixfi may use artificial-intelligence technology to understand vehicle problem reports, ask follow-up questions, summarize submitted information, categorize incidents, and generate an initial or preliminary analysis.

AI-generated information supports operational decision-making and is not a guaranteed mechanical diagnosis. Important maintenance and repair decisions may require review by authorized fleet personnel or qualified service professionals.

How We Use Information

We may use information to:

  • Provide and operate Fixfi services.
  • Identify authorized users and correctly associate employees, drivers, vehicles, incidents, and maintenance records.
  • Process vehicle problem reports and related maintenance workflows.
  • Communicate relevant status or appointment information.
  • Maintain operational, support, security, and audit records.
  • Protect the service against unauthorized access or misuse.
  • Meet applicable contractual, legal, accounting, or regulatory obligations.

Sharing of Information

Fixfi does not sell personal information.

Information may be shared only where reasonably necessary to operate the service, including with the customer organization using Fixfi, authorized Fixfi personnel, approved maintenance/service providers when required for an authorized workflow, and technology providers supporting hosting, messaging, AI, security, or other platform functions.

WhatsApp communications also involve processing by WhatsApp/Meta under their applicable terms and privacy policies.

Data Security

Fixfi uses reasonable technical and organizational safeguards designed to protect information, including secure communications, authentication, role-based access, tenant separation, secure credential handling, and audit logging.

No electronic system can be guaranteed to be completely secure.

Data Retention

Fixfi retains information only for as long as reasonably necessary to provide the service, preserve required operational or maintenance history, maintain security and audit records, meet customer contractual requirements, resolve disputes, and comply with applicable legal or accounting obligations.

When information is no longer required, Fixfi may delete or anonymize it as appropriate.

Your Rights and Data Deletion

Depending on applicable law and the relationship between Fixfi and the relevant customer organization, users may request access to, correction of, or deletion of eligible personal information.

Where Fixfi processes information on behalf of an employer or customer organization, some requests may need to be coordinated with that organization.
